If I understand correctly what Pedro wrote, EMSA’s staff are volunteers. However, we do need to attach a value to EMSA’s contribution, ideally including staff time. An audit is very unlikely, but if that happens we need to be able to show that people have been paid for their time, if that is what we included in the budget.

Dear Pedro,
I’m Loredana, from ISINNOVA too, partner of the proposal and supporting ICL in drafting the budget.
The average monthly rate should reflects a weighted average of the staff profiles expected to be involved in the project, from junior to senior research staff (excluding overheads). For the time being, to calculate the first draft of the budget, I took 5.500€. Do you think it could be a reasonable rate to be used?
Please note that in the proposal the monthly rate will not appear, only Person month allocations.
Best regards,
Loredana

Dear Giulia,
Thank you for the information. Please find attached the completed request forms. We have not filled in the average monthly rate, as we are still unsure how this applies to us as a voluntary organisation. In this regard, if you have any recommendations on how other NGOs typically address this aspect, we would greatly appreciate your guidance.
We have nonetheless completed the remainder of the document so it can be reviewed in due time, and we remain fully available to make any adjustments if needed.
Thank you in advance, and I look forward to hearing from you.
Best regards,
Pedro

Dear Pedro,
Please find below my responses to your questions:
- Find attached a simple guideline on how to calculate the average monthly rate.
- Yes, this field can also apply to a student-led association. It should be completed if EMSA will have people (including students) working on research and innovation tasks within the project. If EMSA is not contributing to R&I tasks, this section does not need to be completed.
- I have checked that EMSA is registered as an association/NGO, so a GEP is not required for eligibility.
I hope this is helpful, but please let me know if anything is unclear.
Best regards,
Giulia

Oggetto: Re: A-Z-HEALTH_Administrative Form (Part A)
Dear Giulia,
Thank you very much for your email and for your support with the administrative aspects of the proposal.
I will send the completed form by tomorrow at the latest, as I would first like to review the full proposal in order to accurately complete page 5. Additionally, currently the European Medical Students’ Association is already registered in the EU Funding & Tenders Portal under PIC number 926184034.
I would also appreciate your guidance on a couple of points:
- We are currently unsure how to best estimate the “average monthly rate” for our organisation, could you advise on how this should be approached in our case?
- Could you confirm whether the field “Researchers involved in the proposal” is applicable to EMSA, given our nature as a student-led organisation? Finally, EMSA does not currently have a Gender Equality Plan. From our understanding, this requirement does not apply to organisations such as ours for the purpose of this submission, however, we would be grateful if you could confirm whether this is correct.
Thank you in advance for your support.
Best regards,
Pedro
