*Dear beloved members of ICSS,* As the ICSS calendar draws to an eventful end, the time has finally arrived for a changeover of leadership. The month of March marks the end of the term for the current batch of seasoned office holders. The Annual General Elections is an extremely crucial event for the society, with the prospect of a new wave of fresh blood looking to add renewed vigour to the ICSS. On behalf of the 28th ICSS Executive Committee, I would like to extend a warm invitation to all members of the society to the Annual General Meeting. This is effectively the last event under the charge of the 28s. If you had enjoyed yourself at any event, any gathering or at any point of time during our term, please do come down for the AGM to show your support for the 28s. We will be greatly touched by your presence, and will certainly be honoured to have you with us as we see out this last stretch. More importantly, we are about to witness the election of the 29th ICSS Executive Committee. As members of the Society, we are all entitled to decide on who we want as the people to steer the ICSS to greater heights over the impending term. In addition, the 28th ICSS Executive Committee has made recommendations for amendments in the Constitution. If ratified, it will bring a change in the form of a new Executive Committee role. Hence, I strongly encourage every member to exercise his or her vote with careful consideration. End of Annual General Meeting 2. *Proposed Constitutional Amendments by the 28th ICSS Executive Committee (Highlighted in Yellow)* I. Amendment of Article 14 Section 1a) *1. **An A.G.M. shall be convened:* *(a) **after the two at least one O.G.M.s in the first and second academic term.* * * II. Extension of Article 18 Section 3) *2. **Secretary* The *Secretary* shall: *(e) **be responsible for the booking of the venues within the College properties for use by the Society.* * * III. Retraction of Article 18 Section 7) *7. **Liaison Officer* *The Liaison Officer shall:* *(e) **be responsible for the booking of the venues within the College properties for use by the Society. (Shifted to Secretary’s Role) * IV. Extension of Article 18 *8. **Events Officer (Major Event)* *The Events Officer (Major Event) shall:*** *(a) **fulfil the principle role of undertaking the responsibility for the annual Major Event in the academic year of his/her term in Office.* * * *(b) **strategize, plan, form, coordinate and execute the Major Event in the academic year with the support of the rest of the Committee.* * * *(c) **ensure that the aims and objectives of the Major Event are achieved to its fullest extent, which includes:* ** * i. To create a platform for the members of the Society to bond and interact. ii. To showcase the talents and culture of Singapore to the international community. iii. To benefit the community in a meaningful way. * ** 3. *Events Office (Major Event)* This year, the Executive Committee is proposing the extension to Article 18 to introduce the role of Events Officer (Major Event). After much deliberation and a thorough review of the term by the 28s, we have come to this resolution of introducing the 9th Executive Committee member. I. Motivation a. Major Event, being the key highlight of the year, is not undertaken or specifically assigned to any Executives within the Committee. b. With the increasing number of events added on to the ICSS calendar, attention and focus for Major Event is increasing being shared and reduced to an extent. c. In the recent years, Major Event has taken on somewhat a standard form, lacking freshness and vigour. d. In addition, Major Event currently only involves approximately 25% of the entire Singaporean population at Imperial College London. II. Resolution a. In electing the Events Officer (Major Event) into the Executive Committee, he will undertake the entire process from strategizing, planning, forming, coordinating to executing of Major Event. b. With a specialized member amongst the Executives focused with the task, Major Event will receive sufficient attention that it deserves as the key highlight of the year. c. It is with hope that with the additional attention given to Major Event for the entire process, subsequent Major Events will witness an increase in involvement, scale, quality and the concomitant desirable effects it brings to the society. III. Job scope of Major Event Chair Please refer earlier part of AGENDA FOR THE ANNUAL GENERAL MEETING, under Section 2 Part IV on the proposed Extension of Article 18. * * *ADDITIONAL INFORMATION FOR THE ANNUAL GENERAL MEETING* In this segment, we have compiled a few of the most frequently asked questions about the Annual General Meeting. 1. How will the extension of Article 18 (Events Officer (Major Event)) affect me if ratified? In the event of a ratification of this extension, the 29th ICSS Executive Committee will have a new make-up of 9 members. If you are interested to run this new role of Events Office (Major Event) and have further questions, please feel free to email president@ic-singsoc.net to find out more! 2. What do I need to do before attending AGM? For members, we will be providing Lunch and Dinner at the meeting. In order to facilitate the ordering of the correct quantity of food, we require all members to RSVP to our Facebook Events page (http://www.facebook.com/#!/event.php?eid=115185235224801&index=1) 3. What is a manifesto and what do I have to do with it? If you are deciding to run for Office during the General Elections, you are required to submit a manifesto to our Liaisons Officer. This manifesto will be placed on the ICSS website for the members’ perusal. It will serve the purpose of introducing yourself to the society, and can be viewed as a form of campaigning. This event is of great significance for the outgoing and incoming Office Holders. More importantly, proposed amendments to the ICSS Constitution will also be ratified during the meeting. As such, it will be crucial that every member be present to exercise his/her say in matters. Lastly, I would like to strongly urge all members to think about the possibility of running for Office.
